Office LED Lighting Buying Checklist: Signify, Philips, Smart Zigbee, and Grow Light Questions

I'm not a lighting designer. I'm the office administrator who handles purchasing for a 280-person company, which means my name goes on the PO when someone says the lights need to be LED. That request landed on my desk more than once in 2024, and I learned quickly that LED is not one product or one decision.

This checklist is for other buyers, facilities coordinators, and admins who need to approve lighting work without becoming electrical engineers. Use it when you're evaluating an LED retrofit, when a vendor says smart lighting, or when a colleague asks can LED light help plants grow? and expects a simple yes or no.

I'll admit something first: I read some Philips Lighting Signify news the way other buyers read industry trade press. There's a practical reason. Signify used to be called Philips Lighting, and it uses the Philips brand on many lighting products under license. That matters because part numbers and product generations change. If I quote a discontinued model, I don't find out until the contractor submits a substitution or the distributor can't ship. Fixing that after the PO is much harder than checking the part number before I issue it.

1. Define what retrofit means in your building

Retrofit used to mean screw in an LED lamp and call it done. That was true maybe ten years ago with simple screw-base replacements. Today, retrofit can mean replacing a driver, rewiring a fixture, changing the light engine, or removing the entire troffer. The word itself does not tell you the scope.

Ask in writing: Does the price include the fixture, the driver, and the labor? Are we reusing the existing housing or the existing control wiring? If the quote says LED retrofit and is much lower than the others, check whether it includes installation or only components. I once approved a lower retrofit quote that did not include the electrician's second visit to deal with a ballast that had to be removed. The job got done, but the lower number did not survive contact with the building.

2. Compare lumens and watts, not watts and watts

One misconception I had to unlearn: higher wattage means brighter light. With incandescent lamps, that was roughly true. With LED fixtures, wattage tells you energy use, not how much useful light reaches a surface. A fixture with good optics can deliver more usable light than another fixture with the same wattage and poor optics.

When you're comparing quotes, ask for the basics in writing: initial lumens, delivered lumens if available, correlated color temperature, and CRI. If the fixture has a separate driver, write down the driver manufacturer too. Those details matter more than a “very bright” label. And if a vendor cannot provide a spec sheet or photometric file, I treat the quote as incomplete.

3. Name the control system before anyone says smart

Smart lighting does not mean one specific thing. It might mean an app, Wi-Fi control, a centralized lighting control system, or a simple remote. When a vendor says it, I ask the same follow-up: what protocol does it use?

In an office, a standard like smart Zigbee is often a better answer than a proprietary system, because it is easier to integrate with other products and less likely to leave you locked into one vendor. But “Zigbee” alone is not enough. Ask for the Zigbee version, the gateway, and the exact driver or controller model. Also ask what happens if the network goes down. I do not want a room that cannot turn on because a cloud service is offline.

If the controls answer is vague, that's a red flag. Treating smart as a checkbox now creates a service problem later, because no one writes down who owns the system after installation.

4. Read the fixture schedule, not just the lighting plan

If you see a spotlight symbol on an electrical drawing, stop before ordering. It usually means an accent or display fixture with a narrow beam angle, not a general-purpose downlight. The small circle with a diagonal beam line looks harmless, but it can hide a very different product.

The spotlight symbol on a reflected ceiling plan is not a product. If it appears without a fixture schedule or part number, ask for the beam angle, wattage, and mounting. A lighting plan says where things go; a fixture schedule says what they are. Ordering by symbol can give you rows of narrow beams over desk areas and shadows everywhere else.

5. Answer the plant question separately from the office question

Can LED light help plants grow? Yes, but not every LED is a grow light. An office fixture that is great for human vision may keep a low-light houseplant alive; it is not the same as a horticulture fixture designed to deliver photons plants can use.

If the project has a real horticulture requirement, ask for photosynthetic photon flux (PPF) and a spectrum graph, not just lumens. For a reference point, read the Signify horticulture LED Netherlands research pages. They do not describe ordinary office fixtures as grow lights. That separation is a useful test: if someone is selling you a regular downlight for a grow application, they are probably not giving you horticulture-grade data.

6. Verify certifications, environmental claims, and what the warranty really covers

Do not accept vague language on a quote. First, the exact model should have a certification listing. In the U.S., a fixture marked UL should appear in the UL product database. If a vendor substitutes a different driver, ask whether the listing stays valid.

Second, green claims should be specific. The FTC Green Guides (ftc.gov) say environmental claims like recyclable need to be substantiated. When someone tells me a fixture is recyclable, I ask what part, through which program, and where. If I can't get that, I stop treating the claim as a purchasing reason.

Third, a “five-year warranty” is only meaningful if you know what it covers—often the replacement part, not labor, not shipping, and not the time your facilities team spends managing it. Get the warranty terms in writing before placing the order. If a fixture fails at month 40, will the vendor ship a replacement driver? Who pays for labor? You need to know now, not later.

This checklist doesn't make you a lighting specifier. It makes you a better buyer, and that distinction matters. An informed customer asks sharper questions, gets faster answers, and avoids the kind of mismatched expectations that create change orders later. I would rather spend ten minutes asking these questions now than spend three months explaining a bad lighting purchase after it is installed.
