5-Step Lighting Spec Checklist I Use Before Signing Off on Any Order

If you're the one signing off on lighting orders—whether it's for an office retrofit, a warehouse, or a sports field—you know the feeling of staring at a pallet of boxes and wondering if what's inside matches what you paid for. It's not paranoia. It's experience.

I review roughly 200+ lighting deliverables annually for a commercial lighting company. In Q1 2024 alone, I rejected 7% of first deliveries due to spec mismatches. That cost us time, money, and headaches. This checklist is what I use now to catch issues before they become problems. It's 5 steps. Follow them in order.

Step 1: Verify the Fixture Identifier Against Your PO

Before you even open a box, check the fixture label against your purchase order. It sounds obvious, but I once rejected a batch of 200 Signify downlights that had the wrong driver rating because someone in procurement typed the model number wrong. The label said 'SR Driver 700mA.' The PO said 'LT Driver 1050mA.' The vendor shipped what was on the PO. The problem was the PO was wrong.

Look for these specifics:

  • Model number – does it match the exact line item?
  • Driver specification – current rating (mA) and dimming protocol (0-10V, DALI, etc.)
  • CRI and CCT – if you ordered 3000K, 90 CRI, make sure the label reflects it
  • Certification marks – UL listing or ETL mark should be present

Step 2: Check the Adjustable Downlight Housing and Trim Fit

Adjustable downlights are one of the most common items we order, and they're also one of the most commonly wrong. The issue isn't always the fixture itself—it's the compatibility between the housing and the trim. I learned this the hard way in 2022 when we received 150 units of what was supposed to be a gimbal ring trim. The trims weren't gimbal at all—they were fixed. The vendor claimed it was a 'manufacturing variation.' We rejected the batch.

Here's what to check:

  • Trim type – gimbal, fixed, or wall wash? Spin it and tilt it if possible
  • Housing depth – does it fit your ceiling cavity? For new construction, this is less critical, but for retrofit, it's a dealbreaker
  • Retention clips – are they present and functional? Missing clips mean the trim falls out

I've also seen cases where the adjustable head doesn't stay in position. That's a mechanical issue—not a spec issue—but it's still a reject. My rule: if you can wiggle it by hand and it moves, it's not acceptable.

Step 3: Test Motion Sensor Functionality (and Know What You're Getting)

This is where the question "is a motion sensor a camera" comes up. Short answer: no. But it's a common confusion because some sensors look similar to cameras. A motion sensor detects movement using PIR (passive infrared), ultrasonic, or dual-tech technology. It doesn't capture images. I've had clients ask this repeatedly, especially in security-sensitive settings like data centers or school restrooms.

When you receive a fixture with an integrated sensor:

  • Test the detection pattern – walk across the room. Does the light turn on when you enter? Does it stay on while you're in the zone?
  • Check the timeout setting – is it factory-set to 5 minutes, 10 minutes, or adjustable? Some sensors come with a potentiometer for field adjustment
  • Confirm the technology – is it PIR, ultrasonic, or dual-tech? This affects sensitivity and placement

Look, I'm not saying you need to tear down the sensor. But a 30-second walk test can save a callback later. I rejected a shipment of 120 fixtures last year because the sensors were spec'd as dual-tech but the units shipped were PIR only. The cost of that redo? About $4,000 in logistics alone.

Step 4: Verify the Driver and Control System Compatibility

If you're ordering Signify luminaires with integrated controls—like for a connected lighting system—this is the step that most people get wrong. I know I did on my first large project. We ordered 500 fixtures with DALI drivers. The on-site electrician wired them to a 0-10V dimming system. Nothing worked. The fix cost us $8,000 and a week of delay.

Check these three things:

  • Driver type – is it a constant current (most common for LEDs) or constant voltage? Wrong type means the fixture won't light
  • Dimmable vs non-dimmable – you'd be surprised how many 'dimmable' fixtures ship with non-dimmable drivers
  • Control protocol – 0-10V, DALI, DMX, or wireless (Zigbee, Thread)? They are not interchangeable

Between you and me, I've started requiring a driver spec sheet to be included with every shipment. It's one piece of paper that saves hours of troubleshooting.

Step 5: Do a Visual Quality Check on the Housing and Finish

This is the part that feels subjective but isn't. There's a difference between 'acceptable cosmetic variation' and 'defective.' US federal quality standards aren't super specific on lighting finish tolerances, but here's what I use as a rule of thumb:

  • No scratches, dents, or paint runs – visible from 3 feet under normal lighting
  • Gaskets intact – for damp or wet location fixtures, missing gaskets mean water ingress
  • Screws and fasteners present – missing hardware is almost always a manufacturing miss, not a shipping issue

I'll give you a reverse validation: I used to think 'it's just finish, it'll be hidden in the ceiling.' Then in 2023, we had 8,000 units of emergency lighting stored in a damp warehouse for three weeks. The finish blistered on 5% of them because the coating was too thin. That cost us a $22,000 redo. Now I check coating thickness on random samples using a digital gauge. Takes 10 seconds per fixture.

Common Mistakes to Watch For

After years of reviewing Signify orders, here are the pitfalls I still see experienced buyers fall into:

  • Assuming 'compatible' means 'identical' – just because a trim fits one housing doesn't mean it fits all. Always test fit
  • Skipping the sensor test – motion sensors are usually tested at the factory, but handling can damage the lens or misalign the PIR element. Test it
  • Forgetting to document the serial numbers – if you have a warranty claim, you need the serial number. Write it down or photograph the label
  • Not confirming the emergency lighting runtime – many emergency fixtures come with a 90-minute battery. If you need 120 minutes (per some local codes), you need a different model

And one more: don't assume that because the brand is Signify, the quality is uniform. Even within a product line, there are variations based on manufacturing date and factory location. I wish I could say all units are identical, but my experience says otherwise. That's why I check every order like it's the first. So far, it's kept my rejection rate under 5%.
